First day
First day
Who can do this: any signed-in person can create a space and becomes its Owner. Installing business modules into an existing space needs Owner. Rights are defined in the .
What it's for
This page takes you from nothing to a space that has your structure, your data and your first teammate. There are three ways to start. Pick one, then follow the checklist at the end.
Before you start
Needs your administrator: the assistant paths ("Build it with AI", Build with the assistant) use an AI provider that your administrator sets up under System, Config. If the assistant never answers, ask for an AI provider to be configured. The app has no dedicated "no AI provider" message. With no provider under System, Config, it falls back to the AI settings in the server's own environment. If those are missing too, the request fails with the error text of the underlying model service, which the chat shows in a red line starting "Error:" under the message box, or the assistant simply does not reply. The wording is not controlled by the app, so do not rely on a particular text. If your first message gets an "Error:" line or no reply, ask your administrator to check the AI provider.
Create a space
Go to the Spaces page.
Choose Add Space.
Optional: set Default project language, Time zone and Default currency. A new space takes your browser's time zone. You can change all of these later under Edit.
Create & set up opens your new space with the template picker already open (path 1 below).
Create empty space opens it empty (path 3 below).
Not sure? Guided setup ("Not sure where to start?") at the top of the dialog opens the first-run screen (path 2 below). People with no space of their own see that screen automatically the first time.
The three starting paths
Path 1. From a template (business type or modules)
Best when your business looks like one of the built-in types.
In a new space, the dialog Set up from modules opens. In an existing space, open the Project Outlines menu in the navigator and choose Set up from modules.
On By business type, pick the type closest to your business. It pre-selects a bundle of modules.
Optional: switch to By module to add or drop parts. The preview lists what will be created, and shared foundations (people, contacts, catalogue, locations) are added automatically and reused if they exist. Map shows the connections.
Choose Install selected.
What to know:
Choosing a business type also adds sample rows to the new tables. Ticking modules by hand does not.
Run from a new space, the parts land at the top level. Run later, they go into a folder named Workspace setup (you can rename it in the box at the bottom).
If you are not ready, choose I’ll set this up later.
Running it again later adds more parts. Foundations you already have are reused, not duplicated.
Import module… loads a module package someone gave you. It is for integrators.
The list of business types and what each contains is in the business guide. The install engine is described in process modules.
Path 2. With the assistant
Best when you can describe your business in a sentence.
On the first-run screen How would you like to start? choose Build my own (Set up my space).
Under What do you do? describe your business, then choose Build it with AI.
A blank space is created and the full-screen Set up with the assistant chat opens. The assistant asks two to four short questions, proposes a plan and waits for your confirmation before it creates anything.
When you are done, choose Open my workspace.
Or pick the closest business type from the grid on the same screen. The space is then built in one step: Creating your tables, Adding realistic sample data, Building your dashboard & calendar.
The other lane, Explore the demos (Browse examples), opens a read-only, fully built example space so you can look around first. It is greyed out when your installation has no demo spaces.
Path 3. Blank
Choose Create empty space. An empty space shows Let's set up your space with three cards:
Set up from a template opens Set up from modules (path 1).
Build with the assistant opens the chat with a starter sentence filled in; finish it and send.
Create a document offers Document, Table, Dashboard, Form and Folder.
You see the cards you have rights for: templates and documents need Edit (owners have it), the assistant needs AI Jobs (owners have it). With neither, you see "This space is empty, and you don't have permission to add content yet."
The Get started checklist
Spaces created from a business type (path 2, grid) show a small Get started card in the corner with four steps. It is saved on the space, so a teammate finishing a step ticks it for everyone. Spaces from the other paths do not have it.
Step | What it does when you choose Do it |
|---|---|
Make the data yours | Opens the first data table so you can replace the sample rows |
Ask the assistant | Opens the assistant chat |
Add a document | Opens the new-document dialog |
Invite your team | Opens Users and rights |
Do it also ticks the step. Click the box to untick. Dismiss hides the card for good, and "You're all set!" shows when all four are done.
Install it as an app
The app is installable on a phone or computer. Installed, it opens full-screen and, on iPhone and iPad, can receive push notifications (Safari delivers them only to an installed app).
Android, or Chrome/Edge on a computer: a banner Install Juxtaboard appears. Choose Install, or Not now to hide it.
iPhone/iPad: the banner says to tap the Share icon, then Add to Home Screen.
The banner is hidden once the app is installed, and stays hidden after you dismiss it in that browser. A separate banner, Turn on notifications, asks you to Enable push on that device. It appears only if push is set up on the server, which is an installation setting. No page under System, Config sets it: the server creates its push keys by itself the first time it starts, and an administrator who needs fixed keys sets the server values VAPID_PUBLIC_KEY, VAPID_PRIVATE_KEY and VAPID_SUBJECT. Ask your administrator to confirm push is set up on the server if you cannot find the banner. You can tell push is missing when the Inbox notifications control (Off, Mine, All) is absent from your profile menu. If that control is there, push is set up, and the banner is hidden for a reason on your side: your browser does not support push, notifications are blocked for the app, you dismissed the banner in this browser, or your own Inbox notifications is set to Off. On iPhone and iPad push works only in the installed app.
First 30 minutes checklist
Create the space and pick a path above.
Open the admin menu, choose Edit, and check language, Time zone and Default currency. Leave Published off for now.
Open the main table and replace the sample rows with yours (Make the data yours). Delete what you do not need.
Invite your team with Users and rights, Invite members. Start people as Read-only or Editor. Keep Owner for people who must be able to delete or reconfigure.
Restrict anything sensitive with Manage access… before you invite the whole team.
Open the space on your phone and install it.
How to check it worked
The space appears on the Spaces page and opens to the navigator.
After a template install, the new tables, forms and dashboards are in the tree.
Edit shows your name, alias and time zone.
Invited people appear in Users with a clock until they register.
Undo / what can go wrong
You can rename and delete anything an install created. Nothing is locked.
If the build fails, the screen says "Something went wrong setting up your space. Please try again." The space may already exist; check the Spaces page before retrying.
For your team
Your owner will send an email invitation. Follow its link, set a password, and the space opens.
Install the app on your phone if your owner asks you to receive notifications.
