Mobile, My work and notifications

Mobile, My work and notifications

Who can do this: every signed-in team member can install the app, use the project on a phone, open My work and set their own notifications. Pinning tiles to the phone start screen needs Manage Members. Setting up a work queue, an action screen or a person column's role is done on a table and needs the Owner right on that table (the per-table dialog calls it Manage). Rights are defined in the .

What it's for

This page covers how your team uses the project day to day: on a phone, from a personal list of work, and through notifications. You set a few things once (start screen tiles, who is named on a task). Each person then controls how they are told.

Before you start

•

Everything here is per person. As owner you cannot switch another person's notifications on or off, and you cannot see whether they installed the app.

•

You cannot rename, re-brand or hide the install prompt. The installed app is called Juxtaboard and opens on your Projects page.

•

The phone layout starts below 768 pixels of width. A tablet is normally wider and gets the desktop layout.

Needs your administrator: browser push needs push keys on the server. The server creates them by itself the first time it starts, and an administrator can pin fixed ones. What is already said about this is in , section "Install it as an app". You can tell push is missing when the Inbox notifications control (Off, Mine, All) is absent from the profile menu. The bell and My work do not depend on push.

Needs your administrator: emails about changed documents and from Notify me… need the installation's email sending. If the bell works but nobody receives these emails, ask your administrator to check email sending. See .

Steps

1. Install the app on a phone or computer

1.

Open the project in the phone's browser and sign in.

2.

Android, or Chrome or Edge on a computer: a banner Install Juxtaboard appears. Choose Install. Not now hides it for good in that browser.

3.

iPhone or iPad: the banner says to tap the Share icon, then Add to Home Screen.

Installed, the app opens full-screen. The banner is not shown inside an installed app. On iPhone and iPad, push reaches only the installed app, so install first, then turn on notifications (section 7).

2. Use the project on a phone

On a phone the navigator shows one pane at a time.

•

You first see the full-width tree of folders and documents. Open a document, table, Tasks or Notifications and it takes the whole screen. The header shows the name of what you opened.

•

The arrow at the top left, which normally leaves the project, now steps back to the tree. When the tree is showing, it goes back to Projects.

•

The favourites strip of the desktop header is not shown. Search, Tasks, Inbox (a dot means something is unread), Notifications (a red number counts new entries) and Tools sit in the header.

•

On the Projects page the My tasks button moves to its own row under the header.

3. Pin tiles to the phone start screen

Phones open to a start screen only when at least one tile applies to that person. Which tiles, how to add them and who sees them is in , section "Start screen": Start screen in the admin menu, Add a tile, Visible to.

What a person with tiles sees on a phone:

•

A switch between Start and Files. Start is the default. Files is the normal tree.

•

My day: their open assigned rows, grouped as Overdue, Today, Later and No date. The section is hidden when there is nothing.

•

Shortcuts: the tiles. A tile opens its table, dashboard or form. A + on a table tile opens the form that adds a row.

Someone with no tiles gets the tree and no My day. The empty-state text in the Start screen dialog ("Workers see only their assigned work until you pin something") does not describe this. Pin at least one tile for the people who work from their phone.

4. Work one record on a phone: the task screen

If a table has an action screen, tapping a row in My day opens it directly. The row's own table owner sets this up under Table options, Action screens.

1.

Fill the fields under Result, if the screen has them.

2.

Mark each linked row with the status buttons. A progress line shows how many are marked.

3.

Press Save and close. If it says Mark everyone first, some rows still have no answer.

Nothing is saved until the last step. A wrong tap costs one more tap. If some rows are refused, the screen says how many and keeps the rest saved.

5. Open My work

1.

On the Projects page choose My tasks. The small numbers beside it count your open assigned rows by priority. Each project card shows the same numbers for that project.

2.

The page lists your work across every project you can open. Projects at the top returns to the project list.

3.

Pick All projects or one project on the left. The choice is remembered on this device. The number beside a project is how many items it holds. A small inbox badge beside a project shows unread conversations and opens that project's inbox.

4.

Use the tabs.

Tab

What lands there

Assigned to me

Comments that @mention you, and table rows that name you in a person column whose Role is Assignee (the default when no role was set)

Requested by me

Comments you wrote that @mention someone else

Watching

Rows that name you in a person column whose Role is Watcher

1.

Filter with Unresolved, Resolved or All. Type in Filter tasks… to search. Use Group by (project, document, priority or due date), Customize columns and Refresh. These settings are kept in your browser.

2.

Click a row to open it in a panel on the right and edit it there. Click a comment to see its text and open it in its document. An open assigned form shows Fill form.

The role is set on the table: open a person column's settings (Person field settings) and pick Role. Columns with the roles Contact, Submitter or Team member account never feed My work. Priority, status and due date show only if the table has columns with those roles. Remote tables and archived items are left out. Items in finished or declined statuses are not counted in the My tasks numbers.

6. Take work from a queue

A queue turns a table into a shared backlog for a group. On the table, open the menu of a status column and choose Configure processing queue. The Queue settings dialog has Enable work queue and the person column whose allowed groups form the queue. Members of those groups then see the table's Queue button.

On My work, a strip titled Queues shows one card per queue you belong to that has waiting rows: how many are pending, overdue or due soon. Take next gives you the oldest unassigned open row. It then appears under Assigned to me. If the queue is empty, it says so. The strip is hidden when nothing is waiting.

7. Turn on notifications on a device

Do this on each phone and computer you use.

1.

If the banner Turn on notifications appears, choose Enable and allow the browser prompt. Not now hides it in that browser.

2.

Or open the profile menu (User profile & settings) and set Inbox notifications: Off, Mine or All. Choosing Mine or All asks the browser for permission and registers this device.

Mine and All decide only which new inbox messages push to you: Mine for conversations assigned to you (or to your group while nobody is assigned), All for every new message. A person who never chose is treated as All. Other alerts that name you (section 9) are not filtered by it. Off removes this device's registration, so it receives no push at all. Other devices keep theirs. Details of inbox alerts: , section 9.

8. Read the bell

Notifications in the navigator header opens the list for the current project only. The red number counts entries that arrived since you last opened it. Opening the panel counts them as seen. The list refreshes about every 30 seconds.

•

Bold entries with a dot are unread. Click one to mark it read and go to the conversation, row, form or document. Mark all read clears the project.

•

Small symbols beside the time show how it reached you (bell, email, phone). An exclamation mark beside one means that channel did not deliver.

9. Choose what you hear about documents and tables

Changes in documents are announced by email, per person.

1.

In the navigator header open Tools, then Notification settings.

2.

Under Per-document overrides the tabs My documents and Other documents list your documents and the ones you added with Add document. For each, choose No notifications, Once a day at a chosen time (set Daily time in your own time zone), 1 hour after the first new change or 1 hour after activity settles. Choose Save. Remove override drops the entry.

3.

Documents you created show with Creator default: a daily digest at 09:00 UTC. The entry becomes real when someone else first changes the document. Your own edits are never reported to you. Set No notifications on it if you do not want the digest.

The Default for this project choice is saved with your settings, but digests are sent only for documents that have their own entry in the list. Do not rely on it to start digests. Set the mode on the documents you care about.

For new rows or status changes in a table, open the table's menu in the navigator and choose Notify me…. Pick a Trigger (When a new row is created or When a row enters a specific state), tick In-app and/or Email under Send via, and choose Save subscription. You need Read on the table.

11. What works without a connection

Very little. The app has no offline mode: pages, tables and My work need a connection. One thing is kept: a photo taken with the in-app camera into an image cell of a row that already exists. If the upload fails, the photo is stored in the browser on that device and a message says "Saved — will upload when back online". A pill at the bottom left, such as "1 photo waiting to upload", stays on every page until it is sent. It retries when the connection returns and when the app opens. Press the pill, or Retry now, to try at once.

How to check it worked

•

On a phone, a person with a tile sees Start and Files and their rows under My day.

•

Put a test person in an Assignee column of a row. Their bell shows "You were added to …", and a registered device gets a push.

•

The person finds the row under Assigned to me and the My tasks number goes up.

•

After Take next, the row has the person's name and sits under Assigned to me.

Undo / what can go wrong

•

Install banner never appears. Your browser shows it only when it allows installing, and not again after Not now in that browser. On iPhone use Add to Home Screen by hand.

•

No push. Check, in order: the Inbox notifications control exists (else ask your administrator), it is not Off, notifications are not blocked for the app in browser or device settings, and on iPhone the app is installed.

•

Assigned row not in My work. Check the person column's Role, that the person can read the table, and that the table is not a remote table.

•

Inbox badge missing on a project card. It counts only for people who hold a direct project access entry. Someone whose access comes only through a group may not see it.

•

Taken from a queue by mistake. Change the row's assignee on the table.

•

Photo still waiting. It needs a connection. Open the app on the same device and press the pill.

•

Document email never comes. You have no entry for that document, only your own edits happened, or email sending is not set up.
