Plan, seats and billing
Plan, seats and billing
Who can do this: anyone signed in can open Billing & usage for their own account. Taking over a space's billing needs Owner on that space. Deleting a space needs the owner it is billed to. See the .
What it's for
This chapter is about what you pay Juxtaboard for: your plan, how many people can edit, and how much you can store, run and create. It is not about the money your customers pay you. That is a separate setup, described in .

Before you start
Open it from your profile menu: Billing & usage.
The page shows the account you are signed in as. Every space you are billed for counts against it.
Prices and plans come from your administrator.
Needs your administrator: plans, their prices and the payment connection to the billing provider are set at installation level. If Available plans is empty, or Manage billing and the upgrade buttons are missing, ask your administrator to define the plans and connect the billing provider. See .
What the page shows
Current plan: the plan name, price and whether it is Billed monthly or Billed annually, and when it renews. Status is Active, Trial or Past due. The page has labels for Suspended and Canceled, but it never shows them (see "Undo / what can go wrong" below).
Projects you pay for: the spaces billed to you. If you see You are not the billing owner of any project yet., no space counts against your account.
Usage this period, as used against the plan's limit, with Unlimited where there is none. The rows are:
A row turns amber at 90% of its limit. Usage refreshes periodically, not live, so the page shows when it was last updated. If it says Usage is still being calculated, check back shortly. Record and document limits apply per table and per project.
Editing seats: people who can edit. Read-only people are not counted here. The line under it shows how many are included and how many are extra.
AI credits
Automation runs
Projects
Reading users
External users: portal customers.
Storage
Available plans: each plan with its price, included seats, and its limits for projects, AI credits and storage.
Steps: add editing seats
Only the person who can manage billing sees Editing seats (when the plan prices extra seats).
Open Billing & usage.
In Editing seats, set Extra seats. The line shows N of M editor seats used and what each seat costs. You cannot go below the number of people who already edit.
Press Update seats. You see Seats updated — prorated on your next invoice.
If you need to know who uses a seat, see the seats section of the . An invite that would go over your seats shows how many are needed and rejects the extras.
Steps: upgrade the plan
Open Billing & usage and find a plan marked higher than yours under Available plans.
Press Upgrade plan. A dialog titled Confirm plan upgrade explains the next step.
With no subscription yet, press Proceed to payment. You go to the provider's secure checkout and the subscription starts after payment. With a subscription already running, press Confirm upgrade: it changes at once, with prorated charges or credits, and shows Plan updated — prorated on your next invoice. Seats you bought carry over.
The same Upgrade plan button appears when you hit a limit.
Steps: manage billing, downgrade or cancel
Press Manage billing. It opens the billing provider's customer page, where you change the payment method, see invoices, move to a lower plan or cancel. The in-app buttons only upgrade; a lower plan shows Lower tier — switch via Manage billing.
If your last payment failed, a banner says Payment failed with Update payment.
Steps: bill a space to a different owner
A space counts against the account of the owner it is Billed to. To change it:
Open Users and rights on the space.
At the top, check Billed to. If another owner pays, press Bill this project to me (you must be an owner of the space).
You see This project is now billed to you, and the space moves onto your plan and seats.
You cannot leave a space you pay for. Transfer billing first. Only the owner a space is billed to can delete it (see ).
What is paid-only
Everything else is a numeric limit of your plan.
What happens at a limit
The action is refused with Plan limit reached and an Upgrade plan button. The message names the limit: projects, documents per project, records per table, editing seats, AI credits per month, viewers, external users, automation runs per month, or storage. Table grids also disable adding a row, with the tooltip Record limit reached.
How to check it worked
After Update seats, the Editing seats row shows the new total.
After an upgrade, Current plan shows the new plan and Status is Active.
After Bill this project to me, the space appears under Projects you pay for.
Undo / what can go wrong
Past due. Your last payment did not go through. Press Update payment to keep your plan.
Seats cannot go below current editors. Downgrade some people to Read-only first.
Manage billing is missing. Your account has no customer record at the billing provider yet. It appears after your first checkout.
Usage looks stale. It refreshes on a schedule; it is not an error.
Plan and seat changes are prorated on your next invoice.
Suspended or canceled. Nothing in the product sets Suspended, and the page cannot display Suspended or Canceled. A failed payment shows Past due, which keeps your plan and its limits as they are. A subscription in any state other than active, trial or past due no longer counts as a live subscription: the Billing page shows Usage is still being calculated — check back shortly. in place of your plan, plan limits (projects, documents, records, seats, AI credits and the rest) are not applied, and scheduled backups are unavailable. Ask your administrator to check your plan.
