Solutions by business type

Solutions by business type

Who this is for: owners and managers who want a ready-made project for the kind of business they run, and want to know what each business type installs before they pick one.

What it covers: how to start from a business type, the full list of business types, what each building block ("module") does, and how to change things afterwards. Integrators who install or package modules by script should read .

1. What this is

Tell the product what kind of business you run (a salon, an auto-repair shop, a restaurant, a courier company) and it builds a working project for you: the tables (customers, invoices, work orders, stock), the forms that fill them, the calendars and boards that work them, and the dashboards that watch them. Everything it creates is yours to rename, extend or delete. You start from a working setup instead of a blank page.

A business type is a ready-made bundle of modules. A module is one building block, such as Invoicing & Payments or Bookings. You can install a business type as it is, or tick modules one by one.

2. Set up by business type

Who can do this: the Owner right on the project. See the .

There are two ways in.

In a new project. Choose Create & set up when you create the project. The dialog Set up from modules opens at once. On the first-run screen you can also choose Build my own and pick the closest business type from the grid. That path builds the project in one step and installs the business type's suggested add-ons as well. The first-day walk-through is .

In an existing project. Open the Project Outlines menu (the layout-list button in the navigator) and choose Set up from modules. The dialog has three tabs:

Tab

What it is for

By business type

Business types grouped by industry (Personal care & beauty, Retail, Food & beverage and so on). Each card shows a short description and the modules it installs

By module

The modules, grouped as Foundation, Processes and Extensions. Tick or untick them. A live preview on the right lists the tables that will be created

Map

The same modules as a diagram of what depends on what. Click a module to select or clear it

Steps:

1.

On By business type, pick the card closest to your business. The dialog jumps to By module with the bundle already ticked: the core modules plus a few suggested add-ons.

2.

Review the preview. Modules that other modules need are added for you and marked "added automatically". Shared foundations (people, contacts, catalogue, locations) are reused if the project already has them, so nothing is doubled up.

3.

Optional: untick add-ons you do not need, or tick extra modules.

4.

Optional: change the folder name in the box at the bottom. The default is Project setup.

5.

Choose Install selected. The tables, views and dashboards appear in the navigator. A message tells you if some steps need attention.

Things to know:

•

Sample data. Picking a business type also fills the new tables with a few realistic rows (clients, services or products, today's schedule), so the first screen is not empty. Ticking modules by hand does not add sample rows. Seven business types come with sample data: Salon / Barber / Spa, Fitness / Yoga studio, Clinic / Practice, Auto repair shop, Retail shop / Boutique, Restaurant / Bar and Agency / Consulting. Sample rows are written only into tables that this install created, never into tables you already had. Replace them with your own data.

•

Run it again later. Installing more modules into an existing project is additive. Foundations you already have are reused, and the domain tables of a module are always created fresh.

•

Not ready? Choose I’ll set this up later.

•

Import module… loads a module package someone gave you. It is for integrators. See .

Careful: a second install of the same module creates a second set of its own tables (its "Processes" tables are not merged). Install a module again only if you want a separate copy.

3. Business-type catalogue

Installed by default modules come with the card. Suggested add-ons are pre-ticked in the dialog and easy to untick. Wherever a business needs shared foundations (a customer book, a product catalogue, locations), those come along automatically.

Shared foundations. These are added for you when a module needs them, and reused if you already have them: People directory, Contacts & Companies, Products, Services and Locations. Customers is added automatically by Classes & Enrollment, Events & Ticketing, Memberships and Property Management; the other business types list it by name. Customers is a consumer address book (clients, patients, guests, students). Contacts & Companies is the B2B address book. Three more foundations are never added on their own, so tick them on By module if you want them: Product categories (a category tree whose attribute sets say which product fields are required, recommended or hidden), Price lists (tiered prices with regions, customer groups, currency rates and tax rates) and Ledger (a bare movements table for your own running balances).

The customer portal is not a module. It is a secure window into the project for your customers. They see only what you share (invoices, orders, documents), can submit forms, and can co-edit shared documents where you allow it. Nothing is shared until you turn it on, and clinical records are never shared automatically. See .

Self-hosted only. Needs your administrator: the Online store (website) and Booking website modules create a site, but the site goes live only if your administrator has registered a storefront template for that site type. See .

5. Make it yours

Everything the setup creates is editable. It is a starting point.

You want to…

Where to go

Rename a table, add or remove columns, change a column type

Open the table and edit its columns. See . Changing columns needs the Owner right on that table

Change the statuses a record moves through (for example Booked, then Done) and what happens on each

The Status column's Configure states. See

Capture new records with a tidy intake form

New form on the table. See

Track a number, chart or board at a glance

New dashboard, or edit the one the module made. See

Let a customer see or submit something

Share it to the portal with External users access… and set who sees which rows. See

Add another capability later

Run Set up from modules again and tick more modules

What tables, columns, forms, dashboards and the portal are, and how they fit together, is in .

6. Two end-to-end flows

Book, serve, invoice, get paid (salon, clinic, trades).

1.

A customer or your front desk makes a booking (or you open a work order). It appears in the calendar and on the board. On a work order, the same technician cannot be booked twice for overlapping times.

2.

You serve the customer and move the record to its done state.

3.

You raise an invoice. It gets the next number automatically (for example INV-2026-0042).

4.

You record the payment. Payments add up on the invoice, and the invoice moves to Paid when the outstanding amount reaches zero.

5.

Anything not yet paid is sorted into an Aging bucket (Current, 1-30, 31-60, 61-90, 90+ days overdue), which the invoicing dashboard charts.

Buy stock, sell at the counter, see what to reorder (retail, cafe).

1.

You raise a purchase order to a vendor.

2.

When the goods arrive, stock goes up. Stock is the running total of the rows in the movements table. A receipt is a plus row.

3.

You sell at the counter. A completed sale writes minus rows, so stock goes down.

4.

The Low stock view lists items whose on-hand quantity is at or below their Reorder point. Items with no reorder point set do not appear.

Careful: the built-in screens have no Receive or Complete sale button. The movement rows for steps 2 and 3 are written when a signed-in user's session calls the receive or complete action of the API, or when someone adds the movement rows by hand. Changing a purchase order or sale to Received or Completed in the grid changes its status only. It does not move stock. The actions are described in .
